MINDAI ONLINE REGISTRATION TERMS & DELEGATE ACKNOWLEDGMENT
Version 1.0 | 18 June 2026
Thank you for choosing to join MINDAI. Our work is rooted in compassion, kindness, dignity, and thoughtful care. Clear expectations help protect every delegate, our team, our hosts, and the communities we visit. Please contact MINDAI before registering if anything below is unclear.
1. MINDAI and Your Contribution
MINDAI is a nonprofit organization guided by compassion, kindness, dignity, and responsible care. Delegates make a required Program Contribution to help cover planning, administration, staffing, facilitation, venues, accommodation, meals, transportation, suppliers, safety preparation, and other operating costs. Any additional Donation is entirely voluntary and independent from the Program Contribution.
Because MINDAI commits funds, time, and resources in advance, all transactions are final and non-refundable once processed. This includes Program Contributions, deposits, installments, reservation or administration amounts, voluntary Donations, and amounts paid by another person on your behalf.
2. Registration and Program Changes
Your registration is confirmed when MINDAI accepts your application, receives the required documentation and payment contribution. Your place may not be transferred without MINDAI’s written approval.
MINDAI may change, postpone, relocate, shorten, replace, suspend, or cancel a Program when needed for safety, participant welfare, weather, public-health conditions, travel disruption, venue or supplier availability, staffing, community conditions, or another circumstance outside its reasonable control. When feasible, MINDAI may offer a replacement date, transfer, or credit. Payments remain non-refundable.
3. Health, Readiness, and Personal Responsibility
You are responsible for considering your physical, emotional, and psychological readiness for international journey especially to the remote area in India.
MINDAI may request further information or professional clearance and may limit, decline, or end participation when it reasonably believes this is needed for safety, well-being, suitability, community care, or Program integrity. No refund is provided.
4. Risks and Voluntary Participation
Programs may involve travel, outdoor or water activities, uneven terrain, altitude, weather, transportation, remote locations, limited emergency access, food or water illness, allergy, infection, wildlife, crime, theft, physical exertion, fatigue, meditation, breathwork, movement, sensory practices, group processes, intense emotions, resurfacing memories, interpersonal conflict, independent providers, and other known or unknown risks.
These risks may result in discomfort, emotional or psychological distress, injury, illness, permanent disability, financial loss, property damage, or death. You knowingly and voluntarily accept the inherent and reasonably foreseeable risks of participation.
5. Release and Hold-Harmless Acknowledgment
Because MINDAI is making the Program available and you are choosing to participate, you release, waive, discharge, and hold harmless MINDAI and its related organizations; board members, trustees, officers, employees, facilitators, teachers, guides, coaches, contractors, volunteers, representatives, program partners, venues, accommodation providers, transportation providers, activity providers, local hosts, medical and emergency providers, security and logistics providers, sponsors, successor organizations, and insurers.
This release covers claims, demands, losses, costs, expenses, bodily injury, illness, emotional distress, disability, death, property loss, and financial loss arising from or connected with your registration, travel to or from the Program, participation, non-participation, or use of Program services. It includes claims arising from ordinary negligence involving planning, screening, supervision, instruction, facilities, equipment, transportation, accommodation, food, third-party coordination, or emergency response.
You understand that, for matters covered by this release, you are choosing not to seek compensation from the people and organizations listed above. This release does not cover deliberate harm or grossly reckless conduct. You accept responsibility for loss, damage, or injury that you intentionally cause or cause through seriously unsafe behavior.
6. Emergency Assistance and Independent Providers
If you cannot provide consent during an emergency, you authorize MINDAI personnel to take reasonable steps to obtain first aid, transportation, medical assessment or treatment, hospitalization, emergency evacuation, or repatriation. Relevant information may be shared on a need-to-know basis. You accept responsibility for related costs not paid by insurance.
MINDAI may arrange independent providers for accommodation, transport, meals, excursions, venues, or local activities. These providers may use their own terms and safety requirements. MINDAI is not responsible for their independent acts or omissions.
7. Compassionate Community Conduct and Privacy
You will treat delegates, staff, hosts, local communities, and property with compassion, kindness, dignity, consent, and respect. Harassment, discrimination, threats, violence, sexual misconduct, non-consensual contact, theft, deliberate damage, weapons, dangerous intoxication, repeated disruption, exploitation of vulnerability, refusal to follow safety instructions, or unauthorized recording is not permitted. MINDAI may restrict or remove a delegate when needed for safety, well-being, or Program integrity. No refund is provided.
You will respect the privacy of other delegates and will not share a person’s information, story, image, recording, or private contribution without clear permission. You are responsible for your own money, documents, medication, devices, luggage, and other property.
MINDAI will use personal information for registration, screening, safety, emergency response, communication, recordkeeping, and Program delivery as described in its Privacy Notice.
8. No Promise of Outcome
MINDAI does not promise a particular personal, professional, spiritual, medical, or psychological outcome, a specific facilitator or group composition, uninterrupted services, compatibility between participants, or particular destination conditions.
